A-01Before anything else

You don't need to know your hourly rate.

Most painters we talk to aren't certain what their hour actually costs. That's normal. Wages are only part of it — super, workers comp, portable long service, leave, the ute, the insurance, the hours you spend quoting and never bill for. Very few people have sat down and worked it out.

Every other estimating service and every piece of estimating software hands you an empty box and asks you to type your rate into it. If you don't have one, you guess — and a guess on a rate is a guess on the whole job.

So we don't start there. You have two ways to go, and you can change your mind after you see the numbers.

Option A · the default

Price it on industry rates

We price your job on current award wages, statutory on-costs and accepted production rates for your state — and we show you the entire build-up, line by line, so you can see exactly where the number came from. Nothing is hidden inside a database.

Option B

Give us your own rate

Know what your hour costs, or what your crew achieves on a good day? Send it and we price on yours instead. If your figures differ from the industry build-up, we'll say so and show you both.

The plans land at 4pm. The tender closes tomorrow.

Fourteen sheets, a finishes schedule that contradicts the plan, and a revision cloud nobody mentioned. Measuring it takes most contractors 45 minutes to several hours before a single price goes on the page — unpaid, at night, after a full day on the tools.

That's the part we took off your hands. We're painters. We've sat at that desk.

Corridor 07 is shown at the low end of its range. Read the other way it carries 118.4 m² of wall — 18.5 m² and 2.9 hours more, about $260. That is the decision RFI 01 puts in front of you, and it is yours to make. Margin is not applied anywhere in this document.
A-05How we handle what we don't know

Every room comes back graded.

No takeoff is certain all the way through. The usual answers are to quietly pad the uncertain parts, or to bury them in an exclusions page nobody reads. We do neither. This is the whole system, and there isn't a fourth category.

Solid, and we'll stand behind it

Measured and priced normally. You can bid it without thinking about it.

02 · Flagged

Uncertain, but we can put a range on it

Its own line on the front page, with the range, the reason and what it's worth in dollars. You decide where inside that range to bid. It's your risk and your call — not ours to make quietly on your behalf.

03 · Held

Can't be established from what we were sent

Excluded and written up, with exactly what we'd need to price it — a missing sheet, a finishes schedule, a revision note. Better an honest gap than a confident guess.

If you're leaving something out or pricing it as provisional, put it as its own line rather than a page of exclusions at the bottom, so we can see what we've got.

A-08Straight answers

What this isn't.

Worth knowing before you send anything, so nobody wastes an afternoon.

It isn't your bid. We give you cost. Margin is a commercial decision about the job and the builder, and it stays with you.
It isn't a site measure. We work from drawings. If the drawings are wrong, so are we — which is exactly why the flag list exists.
It isn't overnight. Three working days. Anyone promising your tender in eight hours hasn't opened your drawings — and on a set with a revision cloud in it, you'd want them to.
It isn't a bid-win-rate claim. You won't find a "98% success rate" on this page. Nobody wins 98% of tenders, and a number like that tells you what the rest of the site is worth.
A-09Who's behind it

A painter who's still on the tools.

I'm Shane McLeod. I run a licensed painting and protective-coatings company in Cairns, and I've run crews of up to forty painters across two cities on eight-storey buildings. I've priced a lot of work, and I've lost some of it on measurement I should have taken more care over.

That matters for one reason. The question every takeoff has to survive is where did this rate come from? An estimating bureau can only answer "our database". I can tell you what I'm paying a crew this week, because I'm paying one.

CoatTakeoff started as the discipline I built for my own bids. Every rule in it — verify the scale before you trust a number, put the uncertain rooms at the top instead of the bottom, never pad quietly — came from something that went wrong on a real job first.

If a takeoff comes back and something looks off to you, say so and I'll look at it myself. That isn't a support policy. It's just who answers.

Before you send a set.

I genuinely don't know my hourly rate. Is that a problem?
No, and you're in the majority. We price on the industry build-up by default and show you every line of it — award wage, super, workers comp, portable long service, leave, billable hours, overhead. Most people read that page and recognise two or three lines they'd been leaving out of their own pricing entirely. Then you can adjust it.
What do you need from me?
The plan set as a PDF, the finishes schedule if there is one, and a line on what you're bidding. Nothing else is required to start.
Why three days and not overnight?
Because a set gets read properly, and because finding the revision cloud nobody mentioned takes longer than measuring the rooms. Eight-hour turnaround is the loudest promise in this category and the one least likely to be kept. If your tender genuinely closes tomorrow, tell us — we'll say yes or no straight away rather than take the job and rush it.
Do you work in imperial?
Yes. Australian jobs come back in m² and lineal metres with Dulux, Taubmans or Wattyl systems and AS/NZS 2311 references. US jobs come back in square feet and gallons with US systems. It's set per job, not per account.
How accurate is it, really?
It depends on the drawing, and we'd rather tell you that than quote a percentage that sounds good on a website. On a well-dimensioned architectural set we can check our numbers against the architect's own printed figures. On a sparse or badly scanned set we can't — and you'll see that in the flag list rather than finding out on site. That is the whole reason every room carries a grade.
What if a takeoff comes back wrong?
Tell us and we'll re-measure it. If we got it wrong, you don't pay for it. We'd rather carry that than have you stop trusting the flag list — the flag list only works if you believe it.
Who sees my drawings?
Us, to do the takeoff, and nobody else. We don't share or resell plan sets. If your set carries confidentiality terms from the head contractor, tell us and we'll work to them. The sample on this page is a drawing we made ourselves for exactly that reason.
Can you do residential?
Yes, though residential plans often don't print room areas, which leaves less to check the numbers against. Expect a longer flag list on a house than on a commercial fit-out. Send one and see.
